The Alliance’s Administrative Assistant is charged with providing administrative support to the organization. This position reports directly to the organization’s Chief of Staff. In this role, you will play a crucial part in ensuring the accuracy and effectiveness of our CRM database by validating and updating information as well as supporting Chief Officers. A high level of discretion, organizational skills, self-motivation, and initiative must be exercised by the ideal candidate.
OBJECTIVES & RESPONSIBILITIES
- Chief Officer Support
- Support the C-Suite with high-level administrative support and follow up on matters arising from meetings, and keeping relevant notes in calendar events including:
- Arrange complex and detailed travel plans, itineraries, and agendas; and compile documents for travel-related meetings.
- Ensure preparation of org-wide and C-suite meetings (i.e.: set up technology for zoom meetings, ensure conference rooms are available, take notes in team meetings, etc.).
- Support the C-Suite with high-level administrative support and follow up on matters arising from meetings, and keeping relevant notes in calendar events including:
- CRM Support
- Maintain up-to-date and accurate information in CRM and/or information systems (AirTable/spreadsheets).
- Maintain an organized virtual filing system (including adding naming conventions, organizing and streamlining shared drive).
- Organize existing data in spreadsheets or
- Compile, verify accuracy and sort information according to priorities to prepare source data for CRM entry including segmentation.
- Cross Reference and review data for deficiencies or errors and correct any
- Verify outdated data and make any necessary changes to records;
- Research and gather information for
- Office Support
- Staff office from 8:30-4:30 Monday through Thursday, 8:30-2:00 on
- Maintain a professional office environment including ensuring appropriate office, clerical, and entertaining supplies, ensure team members have the appropriate office set-up and technology.
- Execute org wide correspondence and
- Provide operational event support on event
- Maintain an organized office environment conducive to ensuring effective working conditions for the organization (i.e.: stocking office supplies, snacks, making coffee, managing housekeeping vendors, reporting repair needs to property manager).
- Provide Culture support (lunches, meetings, swag ordering, etc).
- Develop and maintain a clear understanding of the organization’s mission and
- Other administrative duties as assigned.
EDUCATION AND QUALIFICATIONS
- Associate’s degree in Business, Information systems, Educational technology, Management, Computer Science or related field and 1+ years of experience.
- Two years experience in a similar role may be substituted for Associate’s
- Experience with CRMs and data management (AirTable is a plus).
- Proficiency in data validation and
- Proficient with Google Office Suite: email, sheets, docs, slides or equivalent Microsoft office product.
- A high level of
- Extremely detail-oriented, with excellent time management skills, and can work well in a fast-paced environment with multiple stakeholders and deadlines
- Strong communications skills, both orally and in
- Self motivation around personal, professional, and team
- Strong listening skills and ability to establish rapport with decision-
- Innovative problem solver with a positive attitude, energetic and team builder/team
- Willingness for occasional after hours and weekends event
COMPENSATION
This is a full-time role with a salary range of $36,000 to $50,000 to commensurate with experience and qualifications. This role will be eligible for an annual performance-based bonus upon achievement of predetermined goals.
